**Note taking is a simple but effective collaboration method.** In GEODI DSPM, teams can attach notes directly to documents or data discovered across the organization. This eliminates scattered emails and keeps discussions connected to the actual data.

Notes help security, compliance, and governance teams **record findings, mark false positives, document consent-based deletions, and track remediation decisions**. This creates a clear **audit trail** for data governance activities.

GEODI supports contextual navigation across different content types:

- Notes on **Word or PDF files** navigate to the relevant page
- Notes on **CAD or GIS files** navigate to the related coordinate
- Notes on **videos** navigate to the exact timestamp

Notes are indexed and searchable. You can search notes themselves (`doc:*.geodinote`), filter them by author (`owner:`), or locate documents associated with notes (`child:` and `parent2:` queries).

Access to notes can be controlled, and users can **mention colleagues using @** to notify them and collaborate on governance actions.

## Status Dictionaries for Standardized Notes

GEODI also supports **Status Dictionaries**, which help standardize note-taking across governance processes.

Administrators can assign a **status dictionary to a specific source**. When users create a note for content in that source, the note dialog automatically presents predefined statuses such as:

- False Positive
- Consent Deleted
- Requires Review
- Approved
- Rejected

This ensures that notes follow a **consistent structure**, making governance processes easier to track, report, and audit. Standardized statuses also improve collaboration between teams by providing a clear and shared understanding of remediation outcomes.
